Your content schedule, in the calendar you already check

Calendar sync gives every workspace member a private calendar link. Add it to Google, Apple, or Outlook once, and your scheduled posts appear as events on every device — with posts that need sign-off carrying one-tap approve and reject links, no login required.

Most people open their calendar a dozen times a day and their social media tool once — usually when something is already overdue. That gap is where content pipelines quietly stall: a post sits in "pending approval" for two days, not because anyone objected, but because the approver never opened the tool that was holding it.

Calendar sync closes that gap by meeting you where you already look. Your Nimply planner becomes a subscribed calendar: 🟠 events for posts waiting on approval, 🗓 events for what is scheduled, ✅ events for what went out. Open a pending event on your phone, tap the approve link, confirm on the page that opens — done. Nothing to install, nothing to log into, and nothing ever publishes without that explicit yes.

What is calendar sync?

It is a private calendar feed (an ICS subscription — the same standard mechanism Calendly or your team’s sports schedule uses) generated per member, per workspace. You enable it in Settings → Calendar sync, copy your personal link, and subscribe to it in any calendar app that supports "add calendar from URL" — which is Google Calendar, Apple Calendar, Outlook, and virtually everything else. From then on, the calendar app keeps itself up to date; new posts added to your planner simply appear.

Events cover the posts that matter day to day: what needs approval, what is scheduled for the week ahead, and what recently published, each labeled with its channel and platform. For workspace owners and admins, pending events also carry signed approve and reject links. Tapping one opens a small confirmation page showing the post — one more tap and the decision is recorded in Nimply’s normal approval history, exactly as if it had been made in the app. The link is the credential: treat it like a password, and regenerate it from settings at any time to instantly cut off the old one.

How teams use calendar sync

Approve the morning’s content with your coffee

If your AI agents or your team draft content overnight — a Trend Scout brief turned into a carousel, say — the pending post shows up as a 🟠 event at its publish time. You see it in your phone’s calendar at breakfast, tap approve, and the day’s content is live-on-rails before you reach your desk.

Give the boss visibility without another login

Founders and clients rarely want a new tool; they want to know what is going out and when. Send them their own calendar link and the whole publishing schedule lives in the calendar they already check — and if they hold an owner or admin role, they can sign off on posts right from it.

See content and meetings in one place

When your posting schedule sits next to your actual day, planning gets honest. Launch post colliding with the all-hands? Drag your afternoon around it. The overlay of content on real life is something no in-app calendar can give you.

Never let a pending post stall the pipeline

Approval bottlenecks are invisible inside the tool — the calendar makes them ambient. A 🟠 event sitting in tomorrow’s slot is a nudge every time you glance at your week, so sign-offs happen before deadlines instead of after reminders.

Set up calendar sync

Takes about a minute. Each member gets their own private link — enabling yours never exposes anyone else’s.

  1. 1

    Turn it on in Nimply

Open Settings → Calendar sync in your workspace and click "Turn on calendar sync". Nimply generates your private calendar link — copy it. You can regenerate or disable it here later at any time.

  2. 2

    Subscribe in your calendar app

Google Calendar: Settings → Add calendar → From URL (or use the one-click add button in Nimply). Apple Calendar: tap the subscribe link, or Settings → Calendar → Add Subscribed Calendar. Outlook: Add calendar → Subscribe from web. It syncs to every device signed into that calendar automatically.

  3. 3

    Approve from the event

Posts waiting for review appear as 🟠 "Needs approval" events. Open one, tap the approve (or reject) link, and confirm on the page that opens — the post moves to scheduled and your calendar reflects it on its next refresh. Approve links appear for workspace owners and admins, matching in-app permissions.

Frequently asked questions

Which calendar apps work with it?

Any app that can subscribe to a calendar by URL: Google Calendar, Apple Calendar on iPhone and Mac, Outlook, Thunderbird, Fastmail, and most others. It is a standard ICS feed, so there is no app to install and no account to connect.

How quickly do new posts show up in my calendar?

The feed itself is always current — refresh timing is up to your calendar app. Apple Calendar lets you choose the refresh interval (down to every 5 minutes), Outlook refreshes every few hours, and Google Calendar re-fetches subscribed URLs on its own schedule, which can take several hours. For instant alerts, pair calendar sync with Nimply’s in-app, Slack, or Telegram notifications.

Who can approve posts from the calendar?

Only workspace owners and admins — the same people who can approve inside Nimply. Approve links are only included in their feeds, the link opens a confirmation page before anything happens, and every decision is recorded in the workspace’s normal approval history.

Is the calendar link secure?

The link is private to you and works like a password: anyone holding it can view that workspace’s posting schedule, so don’t share it. If it ever leaks, click Regenerate in Settings → Calendar sync — the old link stops working immediately. Approve and reject links are separately signed and expire on their own.

Can something get published from my calendar by accident?

No. Viewing the calendar changes nothing, and approve links never act on the first click — they open a confirmation page and require an explicit tap on the confirm button. Rejecting sends the post back to drafts. Nothing in the feed can create or publish content.

Does each team member share one calendar link?

No — every member generates their own private link per workspace. Permissions follow the member: an editor’s feed shows the schedule without approval links, while an owner’s or admin’s feed includes them. Removing someone from the workspace cuts off their feed.
